Phone Etiquette Tips Everyone Needs to Know
Do not lie, and avoid being rude while talking on the phone.
Answer promptly: Aim to answer within 3 rings to show you're available and respectful of the caller's time.
Introduce yourself professionally: In a business setting, say "Hello, this is [your name] from [company name], how can I help you today?"
Speak clearly and with a friendly tone: Enunciate your words and avoid shouting or talking too softly. A smile can even come through in your voice!
Be an active listener: Pay close attention to what the other person is saying and avoid interrupting.
Mind your background noise: Put yourself in a quiet place to minimize distractions for the caller.
Use speakerphone with caution: Only use it when necessary and with the other person's permission.
Put callers on hold politely: Explain why you need to put them on hold and ask for their permission. Briefly update them while they wait.
Don't eat or drink while on the phone: Avoid background noises that can be distracting or unpleasant for the caller.
End the call gracefully: Thank the person for their time and let them know how you will follow up, if applicable.
